We’re hiring a professional and proactive Real Estate Assistant! You’ll be in charge of managing schedules, organizing and maintaining our systems, and making sure administrative tasks in the office run smoothly. Job seekers should love planning, organizing, and diving into new challenges.

Responsibilities

Organizing workflow and reducing inefficiencies

● Communicates effectively with clients, other agents, title companies, and service providers throughout the closing process

● Perform additional assigned duties from executives such as picking up orders, handling personal mail, etc.

● Oversee scheduling, including arranging accommodations and travel, managing itineraries, and setting up team meetings

● Manage office duties such as organizing filing systems and ordering office equipment and supplies

● Build, implement, and manage systems for sellers, buyers, lead generation, database management, information management, and back-office support ● Create and maintain an operations manual that documents all systems and standards

● Ensure our standards of excellence in customer care are met in all aspects of the business

● Manage and improve upon the seamless utilization of our listing concierge and transaction coordination vendor relationships to ensure smooth transactions and a positive customer experience. Ensure standards are met for all listing activities

● Responsible for the implementation of company marketing efforts including but not limited to regular social media posts, email newsletters, drip campaigns, email marketing, postcard mailing, client acquisition mailings, open house materials, etc.

● Responsible for the implementation of past client nurture efforts including but not limited to, client events, anniversary programs, closing gifts, special occasion recognition, market reports, pop-bys and check-in calls, review and referral requests

● Responsible for general administrative duties including but not limited to, database entry and management, transactional financial tracking, answering the main phone line, coordinating the team and team leader’s calendar, coordinating travel and meetings

● Assist listing agent with document prep and management, client communication, and broker approval

Qualifications

2+ years of experience in an Administrative or Executive Assistant role

● Have excellent attention to detail and high-level accuracy with documents

● Ability to assess, prioritize and act quickly

● Strong organizational skills, communication skills, time management skills, and interpersonal skills

● Comfortable meeting deadlines and handling confidential information

● Must be comfortable using Microsoft Office

● Strong written and verbal communication skills

● Marketing skills - social media, print, and web-based

● Exceptional organizational and project management abilities

● Flexible schedule

● Proven ability to succeed
