The Executive Assistant is an individual who relishes the opportunity to implement and manage multiple systems with minimal supervision. The individual should have a proven track record of creating and implementing systems and procedures in an office atmosphere and will pay special attention to detail. This person will have a strong sense of urgency and must enjoy “to-do lists”. The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality, attention to detail, and consistent communication. This person has immense focus and can do one thing for a long time without getting distracted, as well as the ability to stay calm among the whirlwind and urgent matters. Customer service – to our clients and to our colleagues - is near and dear to this individual because people matter the most. The right candidate thrives in a fast-paced environment to support the team in managing the client experience and will take on a wide variety of challenges and provide creative solutions. They will be an outside-of-the-box thinker and problem solver, will work well in both a team setting and independently. The right candidate will be persistent in following up with third parties to the Real Estate transaction to keep us within our contract deadlines and get our client to the closing table on time. A true professional that will take the team to the next level. Someone with a high level of integrity, strong technical skills, and an independent thinker with a desire to grow into a Director position.

Responsibilities
  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Responsible for generating financial reports
  • Oversee all contracts through closing
  • Create and maintain an operations manual that documents all systems and standards
  • Social Media and Email Marketing
  • Assisting and supporting a team of salespeople
  • Managing day-to-day office operations and multiple assistants that work remotely
  • Maintaining a constant presence on social media
  • Maintaining database management system(s) and training assistants and interns on systems and processes
  • Support and encourage assistants in office
  • Lead Management Assistance
  • Marketing and strong IT skills necessary
  • Responsible for all Human Resources
  • Responsible for all reporting of daily, weekly, and monthly numbers
  • Handle all accounting and payroll with National
Qualifications
  • Real Estate Experience preferred
  • Strong written and verbal communication skills
  • Marketing skills - social media, print, and web-based
  • Exceptional organizational and project management abilities
  • Skilled with Google Suite
