Top luxury real estate agent is seeking a Real Estate Executive Assistant. In this role, the Executive Assistant will work alongside Jessica Adams, a top agent in the industry, assisting with market research, sale and lease contracts, listings, client communication, and calendar and email management. 2-3 years of experience in a real estate firm or title company is required. Real Estate license is strongly preferred. Qualified candidates will thrive in a fast-paced environment while delivering superior customer service and attention to detail
- Daily Maintenance and communication with active clients
- Oversight of team’s business management system
- Create entries for leads, clients, deals; Seller Side and Buyer Side
- Produce essential listing documents: “Input Sheets”, “Realist”, “Listing Agreement”, “Tax Roll” and “Property History” for placing listings onto the “MLS” platform
- Create a “Critical Dates Sheet”
- Prepare “comparables” and all related supporting documents for listing appointments required by Brokerage
- Attend staging, photography and videography appointments as needed
- Assist with videos for future social media posts
- Collect all condo and association documents needed for listing accuracy
- Coordinate all aspects of each transaction from start to final close-out
- Lease Transactions: Create lease agreement and contract to lease, coordinate the tenant credit & background check as needed with an agent, coordinate rental escrow, disbursement method
- Schedule appointments and manage lead agent’s calendar
- Create and manage listing appointments, personal time for errands, coaching calls, and family events
- Create and/or manage systems for physical office/clerical organization
- Keep office organized and up to date with all listings documents accessible and archive documents when possible
- Proficient in Calendar Management (Google Calendar)
- Proactive, Deadline-driven and extremely organized
- Experience with MLS and contract management
- 2-3 Years Experience in Real Estate Firm or Title Company
- Tech-savvy
- Excellent communicator, both written and oral
- Proficiency in spelling, grammar, punctuation
- High level of discretion and sensitivity to confidential information
