Description

We are looking for a high-level Executive Assistant who embraces the opportunity to manage and engage in various aspects of the multi-faceted real estate business. A confident, self-motivated individual who will thrive in a collaborative environment, given the opportunity to outline, initiate implement projects, and make decisions, while consistently prioritizing the best interest of the company, and the CEO. Responsibilities
  • Provide high-level administrative assistance, such as marketing initiatives, creating and editing e-mails, drafting memos, and preparing communications on behalf of their executive
  • Maintain comprehensive and accurate records ensuring information is organized and easily accessible
  • Serve as a gatekeeper for the CEO, being a trusted and reliable point of contact
  • Answer phone calls and communicates effectively in a polite and professional manner
  • Maintain, develop and enhance Customer/Vendor relations
  • Manage executive’s calendar, including making appointments and prioritizing the most sensitive matters, ensuring the executive remains on schedule
  • Coordinate travel arrangements
  • Organize meetings, including scheduling, sending reminders, and organizing events when necessary
  • Use various software, including word processing, spreadsheets, databases, and presentation software
  • Possess the ability to manage both business-related and personal obligations on behalf of the executive
  • Coordinate maintenance and management of investment properties, properties managed on behalf of clients, and act on behalf of the executive as a point of contact for such matters.
  • Keep CEO informed regarding any problems or issues that need to be addressed
  • Assist with business planning, system development, implementation, and documentation management
  • Perform minor accounting duties
  • Identify competitive pricing for all providers ensuring expenses are being kept within budget
  • Maintain a composed and calm presence in a high stress, time-sensitive situations
  • Adapt quickly to change promoting a firm, confident, and proactive attitude to quickly diffuse situations by producing solutions that eliminate clients concerns
