Description

The operations coordinator is an individual who relishes the opportunity to implement and manage multiple systems with minimal supervision. Responsibilities
  • Purchase supplies and follow office protocols
  • Pay and input invoices on a regular basis for the broker
  • Adjust to the needs of the real estate office and execute other assistant duties when necessary
  • Manage the client database to keep information orderly and confidential
  • Serve as a liaison between the managing broker and clientele
  • Convey messages to broker that were received through phone calls, emails, memos, or reports
  • Oversee the broker’s schedules, team meetings, and travel arrangements

 

 

 

 

  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Manage all financial systems, including maintaining the books and generating financial reports
  • Oversee all contracts through closing
  • Create and maintain an operations manual that documents all systems and standards
  • Coordinate activities related to listings activation and listing maintenance
  • Oversee sign and lockbox placement
  • Generate Home Value Reports
  • Make bi-weekly seller calls
  • Input listings in the Multiple Listing Service (MLS) systems
  • Assist listing agent with document management, client communication, and broker approval
  • Communicate with sellers and validate listing details
  • Coordinate and set up open houses
  • Handle Social Media Email Marketing
Qualifications
  • Experience using word processing programs, spreadsheets and Multiple Listing Service
  • Used to handling private information and meeting hard deadlines
  • Experience in the real estate industry preferred
  • Able to effectively communicate to clients and other team members in a timely manner
  • 2+ years experience as a personal assistant, office manager, or related position
  • High school diploma required

 

 

 

  • Real Estate Experience preferred
  • Strong written and verbal communication skills
  • Marketing skills - social media, print, and web-based
  • Exceptional organizational and project management abilities
  • Bookkeeping skills - skilled with excel
