Position title

We’re hiring a driven Real Estate Executive Assistant to support the supervising Agent and carry out basic administrative tasks. You’ll serve as a liaison between the Agent and clients and be responsible for screening and conveying relevant messages and making appointments. You will also be responsible for the safe-keeping of customer information in the database, keeping the office supplies well-stocked, and working with other team members, attorneys and other service providers who will be assisting in the transaction. Candidates should be quick problem solvers, extremely organized, and have some experience in a relevant field. NOTE: This is an in-person opportunity.

  • Implementing filing systems and order office supplies as needed
  • Pay and input invoices on a regular basis for the broker
  • Support the real estate office as needed with other assistant duties, such as picking up orders
  • Input information received about clients through streamlined database management
  • Liaise between the supervising broker and clients


  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Oversee all contracts through closing
  • Create and maintain an operations manual that documents all systems and standards
  • Responsible for coordinating activities related to listings activation and listing maintenance
  • Sign and lockbox placement
  • Home Value Reports
  • Weekly seller calls
  • Daily client care calls
  • Lead follow up and data entry
  • Responsible for inputting listings in the Multiple Listing Service (MLS) systems
  • Assist listing agent with document management, client communication, and compliance
  • Responsible for communication with sellers and validation of listing details
  • Responsible for Open House coordination and set up
  • Social Media Email Marketing, postcard marketing, and online ads for giveaways
  • Some time out of the office to meet with vendors, clients, service providers, and tasks
  • High school diploma required
  • Prior experience in real estate is a bonus
  • Can work on deadline and handle private client information
  • Familiar with Microsoft Word, Excel, and Multiple Listing Service
  • 2-3 years experience as an executive assistant or administrative assistant
