The Operations Manager is an individual who relishes the opportunity to implement and manage multiple systems with minimal supervision.   • Utilize database to safely keep track of customer records
  • Convey messages to broker that were received through phone calls, emails, memos, or reports
  • Make appointments and travel itineraries for broker
  • Pay and input invoices on a regular basis for the broker
  • Adjust to the needs of the real estate office and execute other assistant duties when necessary


  • Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support
  • Oversee all contracts through closing
  • Create and maintain an operations manual that documents all systems and standards
  • Manage team and agent’s calendar and appointment scheduling
  • Responsible for coordinating activities related to listings activation and listing maintenance
  • Coordinate sign and lockbox placement
  • Facilitate team meetings on a daily and/or weekly basis.
  • Responsible for inputting listings in the Multiple Listing Service (MLS) systems
  • Assist listing agents with document management, client communication, and broker approval
  • Develop and carry out an efficient documentation and filing system
  • Responsible for communication with sellers and validation of listing details
  • Monitor office supplies and vendors and research advantageous deals or suppliers
  • Responsible for Open House coordination and set up
  • Social Media and Email Marketing
  • Able to effectively communicate to clients and other team members in a timely manner
  • 2-3 years experience as an executive assistant or administrative assistant
  • Possesses discernment for working with confidential information and tight deadlines
  • High school diploma required
  • Familiar with Microsoft Word, Excel, and Multiple Listing Service
